Send and track beneficial owner verification

When you add beneficial owners during business verification, each owner receives an email with a verification link to complete their identity check. This guide explains how the owner verification process works, how to track each owner's status, and what to do if an owner didn't receive their link.

Before you can add beneficial owners, you must complete the business verification flow. See Complete business verification for your workspace.

How beneficial owner verification works

After you add a beneficial owner to your business verification, Dots sends them an email with a link to complete identity verification. This link is stable—it can be used again if an owner needs to return to the verification flow later.

Each beneficial owner must complete their own identity verification separately. You cannot verify an owner's identity on their behalf.

What each owner receives

When you add a beneficial owner, they receive an email containing:

  • A verification link that takes them to the identity verification flow

  • Instructions to complete their identity check

The owner clicks the link and follows the prompts to submit their government-issued ID and complete verification.

Track each owner's verification status

Each beneficial owner has a separate verification status that you can monitor in the dashboard. This lets you see which owners have completed verification and which are still pending.

Status meanings

Status

What it means

Pending

The owner has not yet started or completed identity verification.

In Progress

The owner has started the verification flow but hasn't finished.

Under Review

The owner submitted their information and Dots is reviewing it. This typically takes 3-5 business days.

Verified

The owner's identity has been verified successfully.

Action Required

Verification was not successful and the owner needs to resubmit or provide additional information.

When all owners are under review

If all beneficial owners have completed their verification steps but your overall business verification is still pending, your application status shows Under Review. This means Dots is completing the final review of your business verification before approval.

Check your email for updates about your verification status. You'll receive a notification when a decision is made.

Reminder emails for incomplete verifications

If some beneficial owners haven't completed their verification while others have, Dots sends reminder emails to owners who are still pending. These reminders help ensure all owners complete their required steps.

Reminders are sent automatically—you don't need to trigger them manually.

What reminder emails contain

Reminder emails notify owners that:

  • Other owners have completed their verification

  • Their verification is still needed to complete the business verification

  • They should use their original verification link to complete the process

If a beneficial owner reports they never received their verification email:

  1. Ask them to check their spam or junk folder

  2. Confirm the email address you entered for that owner is correct

  3. If the address is correct and the email wasn't found, contact Dots support to request a new link

Verification links expire. If an owner's link has expired or was never received, you'll need to request a new one through Dots support.

If an owner's verification requires action

If an owner's status shows Action Required, they'll need to resubmit their information or provide additional details. Common reasons include:

  • ID photos that were blurry or unreadable

  • Information that doesn't match the details you entered

  • An expired or invalid ID

The owner should use their verification link to retry. If they no longer have the link, contact Dots support for a new one.
