Edit a submitted W-9 form
If you've already submitted a W-9 tax form for your workspace and need to update certain details, you can edit it directly from the Dots Dashboard. This self-service option is available when your workspace has the necessary permissions enabled.
Who can edit a submitted W-9
The ability to edit a submitted W-9 is controlled by workspace permissions. You'll see the Edit option if your role includes either:
Permission to edit submitted W-9 information, or
Permission to edit address details in 1099 forms
If you don't see the Edit button, your workspace may not have this feature enabled, or your role may not include the required permissions. Contact your workspace admin or Dots support to request access.
This editing feature applies to the W-9 you submitted for your own payouts as a recipient. If you're a payer trying to update a payee's tax information, see the W-8BEN reset workflow for internal options, or direct the payee to contact their payer for form-link resends.
Edit your submitted W-9
Open Settings. From the Dots Dashboard, navigate to Settings in the sidebar.
Go to Tax. Click Tax to open the Manage 1099 tax form page.
Find your W-9 summary. If you've already submitted a W-9, you'll see a summary card showing your submitted information, including your name, SSN, birth year, business details, EIN, and address.
Click Edit. If your workspace has editing enabled, an Edit button appears on the summary card. Click it to enter edit mode.
Update your information. In edit mode, you can modify the fields that were previously locked after submission. Make your changes carefully—tax details must match your official records.
Submit your changes. After updating the fields, click Submit to save. You must consent to receive 1099 forms electronically before submitting.
Confirmation email
After a successful update, you'll receive a confirmation email with the subject "Your W9 tax information has been updated." The email confirms that your changes were saved.
If you receive this email but didn't make the change yourself, contact support immediately.
What you can change
The edit flow allows you to update details on an already-submitted W-9. However, not all edits may be available for all workspaces—access depends on your organization's configuration and your role permissions.
Typical editable fields include:
Your legal name
Tax identification number (SSN or EIN)
Business or entity information
Address on file
Ensure your W-9 information matches your official tax records exactly. Mismatches can cause IRS TIN verification failures and delay your 1099 forms.
When to contact support instead
The self-service edit works for straightforward corrections. You'll need support assistance if:
You don't see the Edit button and need to update your W-9
You need to change your entity type (for example, from individual to business)
IRS TIN matching has already failed for your submission
You need to submit a different tax form altogether (such as W-8BEN)
In these cases, contact Dots support with your updated information and the reason for the change.
